The online-only Fall Discovery Show 2015 Author Reservation Form below gives critical and timely information to publicists about their MPIBA-invited author’s appearance at the upcoming Show … and the capability to upload author headshots and book jackets, sign up an author and escort for meal events, and more.

Please note: Go ahead and ship your author’s books to Coast to Coast Trade Show Services, not to any other location, even if you missed the deadline dates below.

Books required for Author Banquet – 200; for other Meal Events – 150; for Afternoon Events (Young Readers Roundup and Books & Brews) – 125.

  • Dear Publisher and Publicist:

    We are delighted that your author will participate in an author event during our annual Fall Discovery Show at The Renaissance Denver Hotel in Denver, Colorado, being held from Thursday, October 8 through Saturday, October 10, 2015.
    This Author Reservation Form must be completed for MPIBA-invited authors who are appearing at a meal event or function at the 2015 Fall Discovery Show.

    DEADLINES

    August 7, 2015
    Author books for events can begin arriving at Coast to Coast Trade Show Services. Please note that you cannot ship author books directly to the hotel.

    Books due at Coast to Coast Trade Show Services. We will contact you if your author's books haven't arrived for our first check-ins with Coast to Coast September 7 through September 16, so you will have time to ship them before our final book check-in on September 23, 2015. Any books not received by September 23, 2015 will have to be expedited to reach MPIBA on time.

  • AUTHOR INSTRUCTIONS FOR SPEAKING

    Regular Meal Events

    We request that authors arrive at events listed at right one-half hour prior to start time, so that they can meet the emcee for the event and tell him/her exactly how to pronounce the author’s name, what the emcee should NOT say in the author’s introduction, and to confirm the order in which the authors will speak.
    The emcee and MPIBA staff will be on hand to show the authors to the tables at which they will eat and to make sure that each author’s table is filled with guests. If you or your sales rep has plans to invite specific people to sit with your author, please let us know. Each table will be set for a total of ten people.
    Authors will have 15 to 20 minutes to eat. After a 5-minute warning given by MPIBA, authors will proceed to the dais with the emcee and begin their speaking rotation.
    Authors are requested to remain on the dais for 20 minutes after the event so that booksellers can have their previously-signed books/ARCs personalized and chat with the authors.

    Afternoon Events: Young Readers Roundup (formerly Children's Tea) and Books & Brews

    The format for these two events is similar to that of a moveable feast. We’ll have ten tables filled with booksellers and ten authors will rotate around from table to table and will have approximately eight minutes at each table to discuss their book with booksellers.
    Please note that table numbers, author seatings, and bookseller seatings for this event are drawn at random, so booksellers may not get to meet every author.

  • ADVANCE PUBLICITY PACKETS and ARCs

    We request a publicity packet, reviews, promotional reports, etc. about your author and his/her book, sent via e-mail to laura@mountainsplains.org so that we can prepare introductions and author materials.
    We request two ARCs or finished copies of the book by August 24, 2015: one for Mountains & Plains’ use in publicity and the other to send to the emcee of the event, in order to prepare the author’s introduction. Please note: We do NOT need preview/in advance copies for authors appearing at the Young Readers Roundup (formerly Children's Author Tea) or Books & Brews.

    If your author isn't listed as needing a headshot sent, we were able to find a big, high-resolution image on the web, the author's website, or Facebook.
    We will need you to upload the requested images in Section 3 below. We can't use full-body images or distant shots, as they become too small when cropped out for head and shoulders only placement in the signage.

    Your author will receive two free meal tickets for an appearance at a meal event -- one for the author and one for the author’s publicist, escort, spouse, or colleague.

    We will hold the tickets at Registration for pick up with the name badge, when your author arrives at the show.
